Accommodations

SSSR has partnered with HMC Reservations to provide an official booking tool for the 2026 conference. This tool offers a variety of hotel options at different price points and distances from the Postillion Hotel & Convention Centre WTC.

To book a room at the conference rates, you must first register for the conference. Your registration confirmation email will contain the exclusive link to the HMC booking tool.

Extending Your Stay Beyond Available Dates

If you are using the HMC booking tool and wish to extend your stay beyond the currently offered dates (July 14-17), please contact HMC directly by email at mail@reservations.nl or by phone at +31 85 486 8800. HMC will coordinate with the hotel on your behalf, and extensions are usually accommodated without any issues. For further assistance, you can also reach out to Renée at renee@reservations.nl.

Important Booking Information

Please review the following details regarding your stay in Rotterdam:

  • Independent Booking: SSSR is not involved in hotel reservations. Delegates manage their own bookings through the HMC tool and are personally responsible for all payments and communications with the hotel.
  • Rates and Availability: All room rates, availability, and "book by" deadlines are determined solely by the individual hotels and the HMC booking tool. SSSR does not have the authority to adjust rates or guarantee room blocks once they are filled.
  • Cancellation Policies: Cancellation terms vary by hotel. It is the responsibility of the delegate to review the specific cancellation policy for their chosen hotel at the time of booking. SSSR cannot intervene in billing disputes or cancellation fees.
  • Confirmation: If you do not receive your conference registration confirmation email (which contains the booking link) within a few minutes of registering, please check your Spam or Junk folder.

Visa Information

You may require a visa to enter the Netherlands. It is your responsibility to ensure that you apply for the correct visa for your requirements. Official information on Dutch visa requirements can be found here.

Letters of Acceptance for Travel Visa Purposes:

  • Letters will be provided on a rolling basis for accepted SSSR 2026 authors.
  • You must first register for the conference to receive a formal visa support letter.
  • Requests for visa letters can be made directly through the conference registration form.
  • SSSR cannot provide individual travel guidance or provide letters to unregistered attendees.
